How to Get a Facilities Management Company Named at Longlist Stage

A facilities management tender longlist is usually built before anyone decides who wins the work.

That distinction matters.

Your FM business might rank well in Google, have years of operational experience, hold relevant accreditations and already deliver substantial contracts.

You can still be absent when a buyer, adviser or procurement professional starts asking:

Which facilities management providers should we investigate?

That is the Ranked Not Recommended problem.

The company is visible in conventional search.

The capability exists.

But when the research question becomes more specific, other suppliers are named first.

No single website change guarantees that an AI assistant, procurement researcher or buyer will add your company to a shortlist. Formal public procurement also operates within defined procedures, frameworks and conditions of participation under the Procurement Act 2023.

But there are practical things an FM business can do to make itself easier to:

identify, verify, understand and investigate.

Here are nine, ordered roughly from the quickest and least expensive fixes to the work that takes longer.

What getting onto the longlist actually means

Being eligible to bid and being one of the suppliers a buyer investigates are not exactly the same thing.

A framework can contain many eligible businesses.

The Government Commercial Agency’s current Facilities Management and Security Services RM6378 agreement is an open framework covering maintenance, cleaning, waste, security and other FM requirements.

Government Commercial Agency: Facilities Management and Security Services RM6378

Individual lots can still contain substantial numbers of suppliers.

For example, the current £0–£2m Hard Facilities Management lot lists 58 suppliers, while the £15m+ Total Facilities Management lot lists 18.

Being present on a framework can therefore be an important qualification signal.

It does not automatically mean every buyer knows:

  • what sectors you are strongest in
  • where you operate
  • which contract sizes suit you
  • what proof you have
  • why they should investigate you rather than another eligible supplier

That is the job of visibility and evidence.

1. Make your company data consistent

Owner: Marketing / Operations
Typical implementation time: 1–3 days

Start with the cheapest problem to fix.

Your company should not look like five different businesses depending on where somebody finds it.

Check:

  • legal company name
  • trading name
  • website
  • address
  • phone number
  • regional offices
  • parent company
  • service description
  • LinkedIn
  • procurement profiles
  • framework records
  • accreditation profiles

If the organisation genuinely has separate legal entities, do not force them into one identity.

Explain the relationship clearly.

For example:

ABC Facilities Ltd is the hard FM division of ABC Group.

That is more useful than leaving the relationship unexplained.

Do this first

Create a master company-information sheet.

Use it as the reference whenever a profile is updated.

This costs very little but removes unnecessary ambiguity.

2. Make accreditations and framework listings visible

Owner: Marketing + Bid / Compliance Team
Typical implementation time: 1–5 days

Do not make a buyer decode a wall of logos.

If ISO 9001, ISO 14001, ISO 45001 or another certification matters commercially, describe it in text.

Where verification is publicly available, link to it.

UKAS provides public tools for verifying accredited organisations and accredited management-system certifications. Its CertCheck system specifically supports verification of certifications including ISO 9001, ISO 14001 and ISO 45001.

UKAS CertCheck

Your page might say:

ISO 45001 Occupational Health and Safety Management

rather than displaying an unexplained logo.

Do the same with frameworks.

If you are approved on RM6378 or another appropriate procurement vehicle, state:

  • framework name
  • agreement number
  • relevant lot
  • service category
  • authoritative external listing

Do not claim a framework you are no longer on.

Do this this week

Build one clear section covering:

Accreditations

Frameworks

Compliance

External verification

This is basic evidence architecture.

3. State clearly what work you want to win

Owner: Marketing / Commercial Director
Typical implementation time: 2–5 days

Many FM websites are too vague.

They say:

Creating better spaces.

Integrated solutions for modern organisations.

Workplace services that make a difference.

None of those phrases tells a procurement professional whether you are suitable for their requirement.

Your core pages should make clear:

What do you provide?

Who do you provide it for?

Where?

At what scale?

With what evidence?

Compare:

We provide innovative integrated workplace solutions.

with:

We provide planned and reactive hard FM services across multi-site commercial estates in London and the South East.

The second statement gives both people and machines more usable information.

Do this this week

Review the homepage and three highest-value service pages.

Remove ambiguity before adding more content.

4. Turn your strongest projects into procurement-grade case studies

Owner: Marketing + Operations / Account Lead
Typical implementation time: 1–2 weeks for the first set

Case studies are where many FM companies already have the evidence but fail to present it properly.

A good case study should answer:

Sector

What type of organisation was involved?

Estate

How many buildings, locations or assets?

Scope

Which services did you deliver?

Requirement

What needed solving?

Evidence

What did you actually do?

Result

What changed?

If commercially appropriate, include measurable information.

Avoid:

We worked closely with the client to deliver exceptional results.

Prefer specifics.

For example:

The contract covered planned and reactive maintenance across 24 commercial locations.

You do not need to reveal confidential information.

You do need to demonstrate relevance.

Do this next

Start with three projects closest to the contracts you want more of.

Do not start by documenting everything you have ever delivered.

5. Connect services, sectors and evidence

Owner: Marketing / SEO
Typical implementation time: 2–7 days

A strong case study sitting alone is useful.

A connected case study is better.

If a project demonstrates healthcare FM capability, connect it to:

Healthcare Facilities Management

and the relevant service pages.

If a page describes waste-management compliance, connect it to your related compliance content.

Internal link: /geo-waste-management-compliance/

Build understandable paths such as:

Sector page → Service page → Case study → Accreditation / framework evidence

This helps buyers investigate the company.

It also gives search systems more context about how the information relates.

Google’s current guidance for generative AI search continues to recommend foundational SEO practices such as clear technical structure, crawlable content, useful internal links and important information in textual form.

Google’s guidance for generative AI search visibility

Do not create twenty thin sector pages just to manufacture keywords.

Build pages where you have something substantive to say.

Facilities management visibility work divided between improvements possible in weeks and authority building that takes months
Facilities management visibility work divided between improvements possible in weeks and authority building that takes months

6. Check whether crawlers can actually reach the evidence

Owner: SEO / Web Developer
Typical implementation time: 1–3 days to diagnose

You can have excellent content and still fail technically.

Check:

  • robots.txt
  • CDN bot settings
  • firewall rules
  • JavaScript rendering
  • noindex directives
  • inaccessible PDFs
  • internal linking
  • server responses

Google explicitly says crawling must be permitted not only through robots.txt, but also through CDN and hosting infrastructure for content to be eligible for its AI search features.

For ChatGPT Search, OpenAI says public sites should not block OAI-SearchBot if they want content discoverable for search summaries and snippets.

OpenAI publisher and crawler guidance

Technical access does not guarantee inclusion.

But blocked access can create a very obvious problem.

Do this next

Check your five most commercially important URLs before auditing fifty secondary pages.

7. Test the questions buyers might actually ask

Owner: Marketing / SEO / Commercial
Typical implementation time: Half a day for a baseline

Do not test:

Tell me about ABC Facilities Management.

You already supplied the answer by giving the company name.

Test discovery questions.

For example:

Which FM contractors can provide hard FM across a national office estate?

Which facilities management companies have experience supporting healthcare properties?

Which UK FM firms provide cleaning, maintenance and security under one contract?

Which FM suppliers should we investigate for a multi-site London property portfolio?

Record:

  • whether you appear
  • who appears instead
  • how those competitors are described
  • which evidence is referenced
  • where their authority appears stronger
  • whether your own description is accurate

That gives you a baseline.

Internal link: /tools/ai-visibility-checker/

Do not treat one prompt as a ranking report.

Patterns matter more than one answer.

8. Strengthen authoritative third-party profiles

Owner: Marketing / Bid Team
Typical implementation time: 2–6 weeks

Your own website cannot be the only source saying you are good.

Look at authoritative external records you already control or can legitimately update.

That can include:

  • procurement-framework profiles
  • professional memberships
  • accreditation records
  • partner directories
  • supplier databases
  • industry associations
  • verified business profiles

The current GCA supplier records, for example, can connect a supplier with individual agreements, lots, website details and other public procurement information.

This is useful because it creates corroboration.

Your website says:

We deliver this service.

Another authoritative source independently connects the business with that procurement category.

Again, that is not a guaranteed AI ranking signal.

It is simply better evidence.

9. Build trade coverage and earned authority

Owner: Marketing / PR / Senior Leadership
Typical implementation time: 2–6+ months

This is deliberately last.

Not because it is unimportant.

Because it usually takes longer.

Trade authority can include:

  • expert commentary
  • genuine industry news
  • project coverage
  • awards
  • research
  • contributed insight
  • event speaking
  • interviews
  • professional-body recognition

Do not buy dozens of low-quality placements because somebody labels them “GEO links”.

Build recognition in places an FM buyer might actually respect.

IWFM, for example, describes its Impact Awards as independent industry recognition that can strengthen credibility with clients and stakeholders.

IWFM Impact Awards information

That does not mean an award automatically gets you recommended by ChatGPT.

It means the wider web contains stronger independent evidence about the business.

That is the objective.

What can change in weeks and what takes months?

This is where FM companies need realistic expectations.

WorkstreamYou can usually implement it inWider visibility effect
Company-data correctionsDaysDepends on external systems updating
Accreditation and framework pagesDaysCan improve clarity once crawled
Service-page positioningDays to weeksRequires crawling and reassessment
Internal linkingDaysTechnical change can be immediate
Crawler-access fixesHours to daysReprocessing still takes time
Case-study upgradesWeeksBuilds evidence progressively
Third-party profile improvementsWeeksDepends on publisher/platform
Earned industry mentionsMonthsLong-term authority work
Trade coverage and recognitionMonthsCumulative rather than instant

Do not confuse:

how quickly you can publish a change

with:

how quickly every search or AI system will react to it.

Google itself says crawling and reprocessing can take from days to months depending on how often its systems revisit a page.

Other AI platforms do not publish one universal refresh timetable.

So avoid anyone promising:

We will get you recommended by ChatGPT in seven days.

That is not a credible guarantee.

What should an FM company do first?

If you have one month, do not begin with digital PR.

Begin with what already exists.

01

Week 1

Fix
  • Company information
  • Framework details
  • Accreditations
  • Incorrect profiles
02

Week 2

Improve
  • Homepage positioning
  • Main service pages
  • Sector descriptions
  • Internal links
03

Week 3

Upgrade
  • Two or three strong case studies
  • Supporting proof
  • Appropriate external references
04

Week 4

Test
  • Crawler accessibility
  • Buyer-style prompts
  • Competitor visibility
  • Remaining evidence gaps

Then decide whether longer-term authority work is necessary.

That sequence is usually more sensible than commissioning months of new content before fixing basic ambiguity.

Why this matters even when you are already on a framework

Framework participation is important.

But it is not the same as being the obvious supplier for every requirement.

The Government Commercial Function’s newly published Framework Practice Guide covers the wider lifecycle of frameworks under the Procurement Act 2023 and emphasises their role as structured commercial routes to market.

Government Commercial Function: Framework Practice Guide

The formal procurement process still matters.

Your marketing does not replace it.

The job of marketing is to make sure that when somebody researches your business before, during or around that process, they find a clear and credible body of evidence.

Ranked is useful. Named is better.

This is the point of the campaign.

An FM contractor might rank for:

facilities management company London

and still fail to appear when the actual question is:

Which facilities management suppliers have healthcare experience, hard FM capability and evidence of multi-site delivery?

Those are different tests.

Ranking proves that a search engine can find a page for a query.

Being named in a buyer’s research requires the company to be understandable in context.

That means the work is broader than traditional keyword rankings.

You need:

01

Clarity

02

Qualification

03

Proof

04

Accessibility

05

External Evidence

That is why Lobo calls the problem:

Ranked Not Recommended.

Frequently Asked Questions About FM Longlist Visibility

Common questions about improving supplier visibility, strengthening evidence and becoming easier for buyers and research systems to investigate.

What can we realistically do this month?

Quite a lot.

You can:

  • Correct inconsistent company information
  • Document current accreditations
  • Add framework details
  • Improve key service pages
  • Upgrade important case studies
  • Strengthen internal linking
  • Check crawler access
  • Establish a baseline for AI-search visibility

You probably cannot manufacture strong industry authority in four weeks. That part takes longer.

Do we need a new website?

Usually not as the first step.

If the existing website works technically, the first priority may simply be improving:

  • Content clarity
  • Evidence
  • Structure
  • Internal links
  • Crawler access

A rebuild becomes more relevant when the existing platform prevents those improvements or has serious technical limitations.

Diagnose before rebuilding.

How much of this can an internal marketing person do?

A lot of it.

An internal marketer can usually handle:

  • Company-data auditing
  • Accreditation copy
  • Framework pages
  • Case-study gathering
  • Service-page improvements
  • Internal linking
  • Profile updates
  • Buyer-prompt testing

Technical crawler problems may require SEO or developer support.

Trade PR may also need additional expertise or industry relationships. The work does not need to sit with one person.

What does this cost if we outsource it?

There is no useful universal price because the scope varies significantly.

A company needing three page edits and profile corrections is not the same project as a national contractor needing:

  • Technical remediation
  • Twenty service pages
  • New case studies
  • Entity cleanup
  • Industry outreach

Ask suppliers to separate:

Diagnosis On-site work Technical fixes Content production Ongoing authority building

That makes the cost easier to evaluate than buying a vague monthly “AI visibility package”.

Does getting this right guarantee we get onto a tender longlist?

No.

Formal supplier selection depends on the procurement process, eligibility criteria, commercial requirements and buyer decision-making.

This work improves whether the business can be found, understood and supported by credible evidence.

It does not remove the need to qualify commercially or perform well in a formal procurement exercise.

Does framework membership guarantee an AI assistant will name us?

No.

There is no published universal rule that gives framework-listed businesses automatic recommendation status.

A framework listing is useful because it can provide authoritative third-party evidence about the supplier and the relevant procurement category.

Treat it as part of the evidence profile, not a guaranteed ranking factor.

Find out where you are missing from the longlist

Do not start by assuming you need more content.

First find the gap.

Is your company absent because:

  • its information is inconsistent?
  • its accreditations are unclear?
  • its service pages are vague?
  • its strongest projects are hidden?
  • crawlers cannot reach important pages?
  • competitors have stronger external evidence?
  • nobody outside your own website supports the claim?

Those are very different problems.

And they require different fixes.

The cheapest first step is simply finding out what the systems currently see.
